Licence and documents
PropertyFlow applies for and holds the short-term let licence or registration where the law requires one, and keeps the safety certificates and documents current with you.
Listing, pricing and guests
Your property is listed and priced across the booking channels with AI Cognito Pricing. Guests are messaged and looked after by the back office on the AI messenger, with your Partner looped in on escalations.
Cleaning and maintenance
Cleaning, changeovers, linen and maintenance are run through vetted Service Partners and Maintenance Partners, and charged to you at cost with no mark-up.
Your money
Every pound of booking money is held in a designated client account, separate from PropertyFlow's own money, and is never used for anyone else's property. You are paid monthly, on a single payout day, with an itemised statement showing every booking, every deduction and any tourist tax collected and paid on your behalf.
Fees, insurance and damage
The management fee is agreed per property before you sign and is stated in your Landlord Agreement, plus VAT where applicable. Licence and compliance costs are charged only with your approval. PropertyFlow holds Public Liability, Employer's Liability and Professional Indemnity insurance. Guest damage is handled under each booking channel's own damage protection. On Partner properties your Portfolio Manager files and manages the claim.

I let the flat to students for nine months and PropertyFlow short-lets it over the summer. Halfway through the season there was a serious leak from the flat upstairs. PropertyFlow led the conversations with the neighbour from the start, brought me in when it was needed to get things moving, and managed everything on my side: guests were kept informed, maintenance visits were fitted in between stays, and any damage to the flat was dealt with immediately. Not a single booking was lost, and even with all of that going on it was by far the best summer the flat has had.
PropertyFlow’s service is personal. They know my property as well as I do and I always know what’s happening with it. Guests are looked after properly, the awkward requests are handled calmly and professionally without involving me, and the reviews show it. The licensing and compliance paperwork is done and documented, and the flat is kept exactly as I’d want it. It’s just very well run, and that gives me real peace of mind.
My flat is let to students for the academic year and I used to run it on Airbnb myself over the summer. It worked, but keeping on top of it alongside a full-time job was hard and I didn’t have the tools or the time to do it properly. PropertyFlow priced the flat, marketed it to families visiting Edinburgh and ran the whole summer without me having to lift a finger. The guest reviews have been consistently great, the flat is bringing visitors into the city and money into local businesses, and I got my summer back. Some councils charge a tax on overnight stays. Where one applies to your property, PropertyFlow calculates it on every booking. On a Partner property, PropertyFlow collects it and pays it to the council on your behalf.

Does my property need a licence?
It depends where it is. Scotland requires a short-term let licence. Northern Ireland requires Tourism NI certification. Wales opens registration in October 2026, with a deadline of 31 March 2027. England has a registration scheme planned, and in London letting for more than 90 nights a year needs planning permission. On a Partner property PropertyFlow applies for and holds the licence or registration where the law requires one, and keeps your safety certificates current with you.
What if I want to stop, or go back to a long let?
Your Landlord Agreement sets out the notice period for ending the arrangement and what happens to bookings already made. Your Partner talks you through it before you sign.
